Sewing Machine Quotation Scope: What Is Included in the Price?

A machine price is useful only when the scope behind it is clear. Before comparing quotations, ask each supplier to describe the same garment operation, machine version and delivery package.

This guide offers a practical way to record those answers. It is a purchasing worksheet, not a statement that any particular accessory or service is included with a Mellin machine.

1. Start with one operation and one version

Write a short operation brief: garment type, seam or component to be made, material layers, size range, drawing revision and the sample you want evaluated. Send the same brief with each request.

Ask for the complete model designation and configuration revision. If a quotation says only “Premium” or “automatic sewing machine,” request the specific model in writing. Similar photographs or family names should not be used to establish that two offers describe the same equipment.

For a specific starting point, review the ML-3520F-RS-FX Premium cutting and sewing machine and ask Mellin to confirm its suitability for your operation and samples.

2. Use four clear scope statuses 📋

For every line item, record Included, Optional, To be confirmed or Not applicable. A blank cell should remain an open question. For an optional item, request its separate price and the effect of leaving it out.

Scope item Ask the supplier to specify
Machine package Full model, controller, table or stand, and listed attachments
Fixtures and patterns Quantity, drawing revision, size coverage, and responsibility for pattern preparation
Sample evaluation Materials, operations tested, records supplied, and sample shipping arrangements
Consumables and spare parts Itemized quantities and model-specific references; distinguish supplied from recommended items
Setup and training Remote or on-site scope, language, participants, duration and any separate charges
Packing and delivery Packing, collection or destination point, transport responsibilities and separately quoted services

3. Put fixture assumptions beside the price

Ask which garment sizes and component shapes the quoted fixture covers. If your order includes several pocket shapes, list them individually instead of treating “one fixture” as coverage for the whole collection.

Record whether revisions, extra fixtures and pattern preparation are included or quoted separately. Use the fixture specification checklist to prepare a clearer drawing package.

4. Connect performance discussions to a defined trial

If an offer includes a demonstration or production estimate, ask which material, operation, loading method and quality checks it refers to. Request trial records for your agreed sample, rather than carrying a result from a different fabric into the comparison.

Describe acceptable seam appearance and component dimensions with your production team. Use the sample test checklist to organize the evidence you want returned. Do not fill missing trial results with assumed output or savings.

5. Make support and documents explicit

Request the relevant manual language, supplied setup records and the contact route for technical questions. Ask the supplier to put any proposed support or warranty terms in writing; do not infer them from a general product description.

For maintenance planning, separate the items delivered with the machine from the recommended model-specific spare parts list. Define the handover documents expected with the agreed configuration.

6. Close the open questions before comparing totals ✅

Give the scope sheet a revision date and keep the supplier’s written responses with the quotation. Record the quoted currency, validity period and estimated availability, and ask what event starts any proposed lead time. These are questions to resolve for the order, not universal supplier terms.

When a configuration changes, request an updated quotation and identify the changed lines. Compare totals only after the scope differences are visible. An item that is unnecessary for your factory can be marked not applicable, with the reason recorded.

If your order involves several garment styles, use the A–B–A changeover trial record to identify extra fixtures, pattern preparation or training that should be clarified in the quotation.

Copy this request into your inquiry

Please quote against the attached operation brief and sample reference. For each machine, fixture, accessory, spare part, training service and delivery item, mark Included, Optional, To be confirmed or Not applicable. Please state the complete model and configuration, itemize optional prices, and identify any assumptions that need our approval.
